Green Leaf Hypnotherapy Service Terms
Disclaimer
The services provided by Jenn Thongtan and Green Leaf Hypnotherapy are intended to support personal development, wellbeing, and mental/emotional growth. Hypnotherapy is a complementary therapy and is not a substitute for medical diagnosis, treatment, or professional mental health care.
Jenn Thongtan is not a medical doctor, psychiatrist, or psychologist, and does not diagnose or treat medical or psychiatric conditions. Clients are advised to consult with their GP or appropriate healthcare provider regarding any medical or psychological concerns they may have.
Results may vary from person to person. While many clients experience significant benefits, no outcomes can be guaranteed.
By engaging in hypnotherapy sessions, you agree to take full responsibility for your own wellbeing, choices, and actions. All information shared during sessions is treated as confidential, within the limits of the law and ethical practice guidelines.
If you are currently under medical or psychological supervision, please seek approval from your healthcare provider and provide this in writing before beginning hypnotherapy.
The client agrees to disclose if they suffer from, or have ever suffered from Epilepsy, Asthma, Diabetes, PTSD, Schizophrenia in the Client Form sent after booking confirmation. Written permission may be required from your GP or specialist before therapy can begin. In certain circumstances Jenn Thongtan and Green Leaf Hypnotherapy may need to contact your GP or specialist directly.
Confidentiality and Privacy
All communication written and during consultations and therapy is confidential, subject legal requirements. It is a legal requirement to inform the authorities if there is a possibility that the client or a member of the public is at risk.
Parts of our conversation may be referred to during professional clinical supervision, a requirement for registered therapists, although names or any identifying details would not be disclosed.
Data Protection
Therapists are required to keep client details on file for ten years, they may be kept on hard copy or computer, this information will be kept secure, as per NCH guidelines on client security.
As a client you are entitled to a copy of client appointment notes kept by the therapist, in concordance with the Data Protection Act. There is a charge of £20 per copy for this service.
Any signed consent forms will be retained whilst any personal data is held.
Your personal details will be retained by Green Leaf Hypnotherapy and Jennifer Thongtan for statutory reasons and will not be shared with a third party for any reason whilst protected and in accordance with the Data Protection Act.
If for any reason you no longer wish to receive communications from Green Leaf Hypnotherapy please send an email with the subject line – UNSUBSCRIBE. If this is requested please be aware that Jennifer Thongtan and Green Leaf Hypnotherapy will be unable to continue contact with you until you sign up again.
Booking Terms and Conditions
Bookings
All bookings and payments are made through the secured website.
Fees are collected at the time of booking via the website. Cash/cheque is not accepted. Currently no facility to take cards over the phone
If there are any problems or issues with the website, payments may also be made through a secure link via Calendly, which will be sent to you if needed.
Appointments
Once payment has been made you will receive a link to book your first appointment. Please book this as soon as possible to avoid disappointment for your chosen time.
Packages - As soon as you receive the link please book ALL the dates you require for all your appointments. This is to ensure your choices are available.
Appointments can be made up to 60 days ahead.
All appointment types are valid for 6 months from date of purchase and all appointments must be completed within this time.
Date Changes
48+ hours before booked appointment time may be rescheduled within 6 months subject to availability.
No date/time changes within 48 hours of appointment time.
Cancellations
Non-refundable but may be rescheduled within 6 months from the purchase date not the date of the appointment.
Individual appointments may be transferred to another name subject to agreement and confirmation by Jenn Thongtan and before any booked appointments. A free initial consultation must be booked with the new client before any transfer can occur to ensure there are no contraindications with the new client. The appointment must be used within 6 months from the date of purchase from the original client.
Packages can only be transferred to a new client once. Multiple clients are not allowed within one package.
Late Arrivals
Sessions will end at the agreed time. If late for an appointment, your therapist will attempt to offer the best possible service within the time left, however the appointment will end at the agreed time with no adjustment to the fee.
Early arrival
if you arrive early, please wait for your appointment you will be held in a Zoom waiting room.
Packages
Please book all your package appointments when you have paid and received the link to ensure availability for your chosen dates and times
You are responsible for booking your dates as soon as possible.
Packages are valid for 6 months from the date of purchase.
All appointments must be completed before the package expires.
Private Groups and Community Groups
Please ensure you have a lead organiser for your PRIVATE group and all participants book their group appointment and add this name in the booking notes.
Community groups will be organised by Jenn Thongtan and advertised times and dates for these course.
Lead Organiser needs to communicate with Jenn Thongtan and Green Leaf Hypnotherapy for the preferred dates and times.
The chosen date and time is not guaranteed to be available so please have a couple of options.
Group package is valid for 6 months from the date of purchase.
All appointments must be completed before the package expires.
If anyone misses an appointment in the group booking they will forfeit that appointment but handouts for the missed appointment will be given and any necessary support will be emailed.
The groups booking is non-refundable for each participant.
If a participant can’t make any of the dates due to circumstances out of their control. They can request to transfer their booking onto a community group booking and dates will be offered for this date transfer. Or alternatively if they can make a new private group but this needs to be arranged and completed within the 6 months validity of the course from date of purchase.
Responsibilities of the Client

If they are currently under medical or psychological supervision, they will seek approval from their healthcare provider and provide this in writing before beginning hypnotherapy.
To disclose Jenn Thongtan and Green Leaf Hypnotherapy if they suffer from, or have ever suffered from Epilepsy, Asthma, Diabetes, PTSD, Schizophrenia on the Green Leaf Hypnotherapy Client Form (separate document).
They may be required to provide written permission from their GP or specialist before therapy can begin.
Jenn Thongtan and Green Leaf Hypnotherapy may request to contact their GP or specialist directly.
Therapy Appointments
The Client acknowledges and accepts:
They contacted Jenn Thongtan and Green Leaf Therapy to make the first step towards transforming their lives and agree to be open and willing to receive the therapeutic modalities and interventions that are recommended.
Results may vary from person to person. While many clients experience significant benefits, no outcomes can be guaranteed.
By engaging in hypnotherapy sessions, they agree to take full responsibility for their own wellbeing, choices, and actions. All information shared during sessions is treated as confidential and within the limits of the law and ethical practice guidelines.
To be prepared to set an alarm on their phone for the trance sections and will be informed how long to set the alarm for. This will ensure that they are fully cognitive when awakened if they have drifted into a deeper relaxation state.
Awakening from sleep or with an alarm will be suitable to return feeling fully cognitive for a usual waking state to carry on their day/night.
The hypnosis/trance part of the sessions can vary from appointment, modality and intervention used. This can vary from 15 minutes to 45 minutes approximately and is not guaranteed or to be expected in every session.
To be in a comfortable sitting or reclining position to receive therapy.
To ensure an uninterrupted and supported home environment to ensure they can be fully immersed and benefit from the therapeutic intervention.
Their shoulders and head can be seen through their web camera throughout the appointment, and will adjust and practice the video to ensure this is possible before the therapy commences. This can be tested during the Initial Consultation call.
To ensure their device is not balancing precariously or being handheld due to this falling over during the trance.
The Client Agrees:
To participate willingly in the therapeutic process
To be ready and open to accept change
To trust the process and be consistent
To be respectful
To show up for themselves
To be responsible for their own progress, decisions, and actions during and after therapy. Including any self-hypnosis and home practice as agreed.
To not attend therapy under the influence of drink or drugs.
Any Issues with Therapy
The Client acknowledges and accepts:
If at any point they feel unsupported or believe that the agreed actions have not been carried out, they will contact Jenn in writing via email. Together, issues will be addressed and any necessary adjustments to resolve unintended actions. Jenn will respond within 48 hours to any issues.
If any modality or therapy is not effective or not aligning with their healing to discuss this with Jenn at the next session or before via email and different techniques can be agreed for future sessions.
They are not eligible for a refund to any previous session that has not yielded any obvious results.
Therapeutic changes can occur at a deep level and results are not always obvious at first but over time and with self-practice these results can be prominent and long lasting.
Remote Working
The Client acknowledges and accepts:
The following safeguarding issues are required during remote therapy appointments.
Zoom is one of the most stable platforms, and closest to being GDPR friendly. Please download here if you need to: https://zoom.us/download.
To have mobile phones on silent during the session. However, to have the phone available in case there is a break in connection.
To ensure the strength and speed of their internet connection is suitable for the appointment and to have adequate Wi-Fi reception in the room they are using or switch to Data, if this offers a better reception.
To be aware and responsible for their own internet connection and any problems with connection and reception will not be compensated if the appointment is disrupted or forfeited, unless it can be verified to not be on the connection issues.
If unsure about the internet connection to book an initial consultation to test for the quality of reception and platform experience. If they do not have an initial consultation and there are remote working issues the client is to understand they are not eligible for a refund on the appointment.
Aftercare
The Client acknowledges and accepts the following recommendations after the session:
To drink regular water throughout the day/evening
To rest as much as possible. The sessions are working with their subconscious, and they may feel more tired than usual after the session and the following day whilst they are still processing the therapy.
To try not to book an appointment before a busy day or night.
To try to listen to the self hypnosis recording regularly.
To understand they will see quicker results and will need fewer appointments if they practice self-hypnosis. The therapy works best when they can top up the learning and remind my subconscious.
To access other apps such as Calm for additional recordings and provide variety for the mind to calm.
Client Consent and Agreement
These are boundaries that we both agree to abide by; Clients will receive a copy of these within their Client Form.
The client understands that hypnotherapy is not a substitute for medical or psychological treatment.
The client acknowledges and agrees that personal data will be recorded for treatment, accounts and communication purposes and this information is stored in accordance with the General Data Protection Regulations.
